This Privacy Statement/Policy sets out what we do with Personal Data and what you can expect from 250th Manchester (St. Mary’s) Scout Group as part of our obligations when processing this Personal Data
We will collect Personal data at various stages of your Scouting journey:
Pre-joining information such as contact details of parents/carers, young people's names and dates of birth to ensure they meet age requirements for joining a section
Personal details upon a young member joining the Group, including names, addresses, contact details, relevant medical history, ethnicity, religion
Personal details upon an adult volunteer joining the team, including names, addresses, contact details, relevant medical history, ethnicity, religion
Event registration information such as names, date of birth, recent medical history, emergency contact details
We collect this data in order to:
Identify the member
Verify member age is acceptable for events
Contact emergency contacts in the event of an emergency
Administer any medications that may be required during events
Inform adult volunteers/event organisers of any disabilities, cultural or additional needs that may require reasonable adjustments
Verification of parental responsibility for authorisation to register the member for events
This data is securely stored as paper in a locked filing cabinet, and an online membership system (Online Scout Manager), and as electronic documents stored in a secure online system (OneDrive). We take data security seriously.
We will regularly ask people to check their details are up-to-date and accurate, for example by logging in to Online Scout Manager and providing any recent updates to their information.
Data will be accessible to the Group and Section Lead Volunteers, and their delegates as needed. For events, relevant data may need to be shared with external thrid parties (these will be identified as needed on a per-event basis).
Data is stored for up to 7 years after the person has left Scouting (or 7 years after their 18th birthday, whichever is later).
